Presenter guidelines
The link for uploading OOS2025 presentation files and supplementary material will be provided from 5 May 2025.
Oral presentations
All oral presentations will take place at a venue located on Quai Infernet, Port Lympia, Nice. Each session lasts 1.5 hours and consists of seven consecutive 10-minute presentations (including setup time), followed by a 20-minute audience discussion.
Sessions will run in parallel across eight rooms within the venue, each with different capacities. The detailed schedule and room assignments are available in the official program (link).
Presentation requirements:
- Presentation slides are mandatory (at minimum, a title slide with your name, role, and affiliation).
- Slides must be uploaded via the presentation upload between 5 May and at the latest before 30 May. The link will be provided from 5 May.
- The organizers will conduct technical tests before the presentations.
- Supported formats: .pdf, .ppt/.pptx, .pps/.ppsx, .png, .jpg (up to 50 MB) and .mp4 (up to 200 MB).
Slide guidelines:
- Use large, legible fonts (minimum 24pt).
- Ensure color schemes accommodate color vision deficiencies (check using the Coblis – Color Blindness Simulator).
- Credit all images properly.
- Format slides in 16:9 wide-screen ratio.
- Use the OOSC graphic if photo permissions are not granted.
Supplementary materials & interaction
Authors may upload supplementary materials (e.g., extended videos, slides) between 5 May and 1 July 2025. These materials will be accessible via the event website, enabling further interaction through a commenting function.
Accepted formats:
- .pdf, .ppt/.pptx, .pps/.ppsx, .png, .jpg (up to 50 MB)
- .mp4 (up to 200 MB)
- .html (linked externally)
- Pre-recorded content hosted on Vimeo or YouTube can be linked.
Authors may opt to make their materials publicly accessible one month after the conference under a Creative Commons Attribution 4.0 International License.
The supplementary materials are distributed under the Creative Commons Attribution 4.0 International License (CC BY 4.0). If the supplementary materials cannot follow the CC BY 4.0 License, this must be clearly marked by the authors in the supplementary materials file. In either case, the authors grant Copernicus Meetings the right to hold their supplementary materials online for viewing and download by individuals.
On-site poster presentations
Posters will be displayed at La Baleine, a venue at the Palais des Expositions (Parvis de l'Europe, Nice), from 3 June at 17:00 to 5 June at 20:00. Dedicated poster sessions will take place on 3, 4, and 5 June from 18:00 to 20:00, during which authors are expected to be present.
Posters will also be accessible in the online program. Authors must upload their posters between 5 May and at the latest before 30 May.
Poster setup & removal:
- Authors are responsible for printing and bringing their posters (use of recycled paper is encouraged). You may contact the following local printing services: Aseca and Peradotto.
- Format: Portrait, A0 (841 mm W × 1189 mm H).
- OOSC staff will be available on-site for assistance to set up posters, and hanging systems will be provided.
- Posters must be removed by 5 June at 20:00. Any remaining posters will be discarded.
- Abstracts not presented will be removed from the program and marked as Withdrawn after no-show.
Poster design guidelines:
- Ensure the title, authors, and contact information are clearly visible.
- Maintain a clean and structured layout with legible text (minimum 16pt font).
- Include research background, results, and conclusions.
- Ensure color schemes accommodate color vision deficiencies (check using the Coblis – Color Blindness Simulator).
- Credit all images properly.
- Use the OOSC graphic if photo permissions are not granted.
- Optionally, include a QR code linking to supplementary materials.

Virtual poster presentations
Virtual posters will be available online from 09:00 on 3 June to 12:00 on 6 June (CEST) for both on-site and virtual participants.
Please upload your poster between 5 May and at the latest before 30 May. In addition to the uploaded poster, an optional commenting function will allow interaction between participants and authors.
Virtual poster design guidelines:
- Use a clear layout optimized for on-screen reading.
- Maintain a structure similar to on-site posters, including the title, authors, research background, and results.
